The boring problem

Every booking enquiry started the same way. Open the email. Read the date. Open Google Calendar. Check the date. Reply. Five minutes, every time — even for dates already booked three months ago.

For DJC, a busy event DJ service taking enquiries through a website and email, that adds up. Hours a week going to calendar checks and polite “sorry, I’m booked” replies. Hours that could go to actual gigs, or to the enquiries that could actually turn into work.

The bigger frustration: the most urgent leads — people asking about dates that were still free — were sitting in the same inbox, getting the same slow treatment as the dead-end ones.

What I built

A custom AI agent that reads every inbound enquiry, checks the date against Google Calendar, and decides what to do next — automatically, without the owner in the loop.

The system has read-only access to the calendar. No bookings can be made or changed by it. All customer data stays on the business’s own infrastructure — nothing goes to a third-party cloud service.

What it does with each enquiry:

  • Date unavailable — drafts a polite response, includes alternative supplier suggestions, logs the enquiry and date to a cancellation waitlist
  • Date available — flags it immediately for the owner to review and respond personally
  • Unclear enquiry — passes it to the owner with a summary

The owner’s inbox now contains one thing: viable bookings worth responding to.

A side effect nobody planned for: a categorised waitlist of every person who enquired about a date, sorted by date. When a cancellation comes in, the owner has a ready-made list of people to contact. That list didn’t exist before.

The owner now spends their time closing bookings, not triaging inboxes.
